Privacy Policy

Last updated: 20 October 2026

iCMedia Pty Ltd (ABN 92 615 758 140), trading as iCMedia Group ("we", "us", "our"), respects your privacy. This policy explains how we collect, use, store and disclose personal information, and how you can access or correct it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. About this policy

This policy applies to icmediagroup.com.au and to the services we provide, including digital advertising, outsourced marketing, AI integration, business systems and software, and website design and support. Our individual ventures, such as 4sports.com.au, may have their own privacy policies, which apply when you use those sites.

By using our website or services, you agree to us handling your personal information as described here.

2. What personal information we collect

We only collect personal information that we need for the purposes set out in this policy. Depending on how you deal with us, this may include:

  • your name, business name and job title
  • your email address, phone number and postal or business address
  • the details of your enquiry and any messages you send us
  • billing and payment details, when you become a client
  • information about how you use our website (see Cookies & analytics)

We don't ask for sensitive information, such as health information or racial or ethnic origin. Please don't include it in your messages to us.

3. How we collect it

We collect personal information directly from you when you:

  • send an enquiry through our contact form, by email or by phone
  • book a free chat or digital check-up
  • become a client and sign an agreement with us
  • subscribe to updates or newsletters from us

If you'd prefer to deal with us without identifying yourself, you can ask general questions without giving your name. We'll need your contact details to reply, provide a quote or deliver services.

4. How we use it

We use personal information to:

  • respond to your enquiry and prepare proposals or quotes
  • provide, manage and improve our services
  • send invoices and manage your account
  • keep you informed about your projects and our services
  • meet our legal, tax and accounting obligations

We won't use your personal information for an unrelated purpose without your consent, unless the law allows or requires it.

5. Client data handled through our services

When we run marketing, set up AI tools, build systems or manage websites for a client, we may handle personal information that belongs to that client, such as their customer lists, enquiries or CRM records. In that case:

  • we use that information only to provide the services the client has engaged us for
  • we don't sell it or use it for our own marketing
  • the client remains responsible for having collected it lawfully and telling their customers how it is used
  • we follow any additional confidentiality or data terms in our agreement with the client

6. Who we share it with

We never sell your personal information. We share it only when needed, with:

  • our staff, who need it to do their work and are bound by confidentiality obligations
  • trusted service providers who help us run our business, such as website hosting, form handling, email, cloud storage, accounting, advertising platforms and AI tools
  • professional advisers, such as our accountants and lawyers
  • a buyer or potential buyer of our business, if it is sold
  • government authorities, courts or others when the law requires it, or to establish or defend our legal rights

We require service providers to protect personal information and use it only for the services they provide to us.

7. Overseas storage and disclosure

Some of our service providers store or process information outside Australia, including in the United States and other countries where cloud and software providers operate. When this happens, we take reasonable steps to ensure those providers handle personal information in a way that is consistent with the Australian Privacy Principles.

8. Cookies and analytics

Cookies are small files that a website stores on your device. We may use:

  • Essential cookies, which help the website work properly
  • Analytics cookies, which show us how visitors use the site, such as pages viewed and time spent, so we can improve it
  • Advertising cookies, which help us measure our ads and show relevant ads on other platforms

You can set your browser to block or delete cookies. Some parts of the site may not work as well if you do.

9. Security and how long we keep it

We take reasonable steps to protect personal information from misuse, loss and unauthorised access. These include encrypted connections to our website, secure cloud services with access controls, and limiting access to staff who need it. No online system is completely secure, but we work to keep risks as low as reasonably practical.

We keep personal information only for as long as we need it for the purposes in this policy, or as long as the law requires, for example tax records. After that, we securely delete or de-identify it.

10. Marketing

We may send you updates about our services if you've asked us to, or if you're a client and the update is relevant to you. Every marketing email includes an unsubscribe link, and you can also ask us to stop at any time by contacting us.

11. Children

Our services are for businesses, and we don't knowingly collect personal information from anyone under 16. If we learn that we have, we'll delete it as soon as possible. A parent or guardian can contact us about this at any time.

12. Accessing and correcting your information

You can ask us what personal information we hold about you, ask for a copy, or ask us to correct or delete it. Contact us using the details below. We'll respond within a reasonable time, usually within 30 days. If we can't give you access, for example where the law prevents it, we'll explain why.

13. Complaints

If you're concerned about how we've handled your personal information, please contact us first so we can try to resolve it. We'll acknowledge your complaint promptly and aim to respond in full within 30 days.

If you're not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

14. Changes to this policy

We may update this policy from time to time, for example when the law changes or we change how we handle information. The latest version will always be on this page, with the date it was last updated.
